The personal data we may hold

Your name, postal address, email address and phone number. Passport details will be collected only where required for security reasons (i.e. MoD site visits) and for the organisation of overseas trips.

How your personal data is collected

Via membership and attendance forms (paper and digital), or by completion of details on the form on the BMMHS website (www.bmmhs.org) completed by members and attendees and sent to the BMMHS membership secretary on info@bmmhs.org or by post or handed in at an event. Photocopies or facsimile copies will be requested from members/participants by email.

How your personal data is stored

Digital: storage will be held online on the BMMHS database, held on a password protected personal laptop.             

Paper Forms:  will be held manually in a locked storage cabinet at the residence of the membership secretary. 

Passport: copies of passports will be maintained exclusively for the purposes of a specific trip or event.

How your personal data is used/processed

Contact details are used only to advise members and attendees of current events (talks, trips, activities etc) of the BMMHS, of updates to the BMMHS website and to request feedback on BMMHS activities (past and future proposals).  Phone numbers will be used occasionally to contact members to clarify any queries on events,  membership and participation in activities.

No personal data of any sort will be shared with other third parties except where required for the purposes of organising and booking events and trips in UK and abroad.

GDPR & BMMHS talks

In order to enable us to ensure the smooth facilitation of your attendance of our talks it is helpful for us to retain your name and email.
Please note that by joining our talks you are consenting to BMMHS retaining that data  for the above purpose.
In compliance with GDPR, please advise us if you do not want us to retain your name and email for the above purpose.

Payments data

Payments made by BMMHS members and attendees (trip deposits and payments, membership fees, donations, subscriptions etc) will be in the form of cash, cheque, BACS transfer, standing order and PayPal. Payment will be recorded by the BMMHS Treasurer.

Bank details of individual BMMHS members and attendees will be recorded comprising account name, account number, sort code.

Collection will be via forms, digital records provided by the members/attendees posted to BMMHS Membership Secretary or digitally by email or Paypal or via the BMMHS website or via standing order forms for membership, and forms provided by post or in person by BMMHS members.

How your payments data is stored

All payment and associated bank details will be recorded and stored on a central BMMHS database which is password protected. Details provided  physically on forms by members and attendees will be securely stored at the home of the Membership Secretary.

Photocopies of any standing order forms received will be retained until the first payment has been received and thereafter destroyed.

Details received by post will be securely held by the Membership Secretary.

How your payments data is used/processed

Details of any payments made by whatever means will be recorded in the individual members records.  Standing orders mandates will be shared with the members bank for processing purposes. 

No bank details will be shared with any other third party.
